The Service Crew volunteers play a crucial role in helping us create a successful and memorable event for all attendees. Below, you’ll find information on how to sign up, what to expect, and how to get in touch with the iconic Yellow Hats if you have any questions. What is the Service Crew, and how are they different from Yellow Hats?
The Service Crew is a dedicated group of individuals who support the annual conference and expo by volunteering their time in exchange for a significant discount on attendee registration fees. This program offers a unique opportunity to connect with others in the industry while playing a vital role in event operations. The nickname “Yellow Hats” comes from the iconic yellow hats or bandanas worn by Service Crew members during the event, making them easily recognizable as event ambassadors.
Signing Up
To volunteer for the Service Crew, we ask folks to complete an online application. The application typically opens by July and remains open until the week of the event.
Selection Process
Service Crew leaders from the Conference Work Group carefully review all applications and selects volunteers based on their availability, skills, and experience. Selected volunteers will be notified via email and provided with further instructions, typically by October. Please note that when openings become available in the Conference Work Group, the team that puts together this premier event, preference is given to applicants who have volunteered for the Service Crew at least once during their annual conference and expo experiences.
Benefits
As a volunteer, you’ll receive a 50% discount on registration for the conference and expo. In addition, you’ll have the opportunity to attend exclusive professional development and networking events with industry professionals and year-round volunteers, gain valuable industry experience, and contribute to the overall success of the event. We invite Service Crew members to share their involvement online using the Digital Volunteer Badge, which becomes available once applications go live (typically in July).
Timeline
Volunteers are expected to communicate and donate a certain numbers of hours of their time sometime between February 2nd to February 8th, 2026—the number of hours is contingent upon the type of event, virtual or in-person, and is explained in the Service Crew application process. Volunteers sign up for specific shifts and assignments on a first-come, first-served basis in the months leading up to the event date once the event schedule is finalized.
Training
On-site support and guidance will be available throughout the event and volunteers receive training to familiarize themselves with their roles and responsibilities for two hours on Wednesday, February 4th, 2026. Exact timing is typically finalized by December when the general schedule is completed and is shared via email with Service Crew members. Service Crew members are expected to participate in this site-specific training and should plan their travel accordingly. These training hours contribute to a volunteer’s fulfillment of their required hours to receive the registration discount.
Volunteer Registration
Once selected, Service Crew members receive instructions on how to register for the event and redeem their discounted registration rate, typically via email. We invite Service Crew members to share their involvement online using the Digital Volunteer Badge, which becomes available once applications go live (typically in July).
During the Annual Conference and Expo
As a member of the Service Crew you are expected to:
- Arrive on time for all assigned shifts.
- Attend the mandatory onsite training session.
- Respond promptly to all communications—including pre and post-conference.
- Wear your Yellow Hat or Bandana during your shifts to remain easily identifiable.
- Deliver exceptional customer service to all attendees, exhibitors, and sponsors—embodying the spirit of professionalism and support.
Examples of Service Crew Responsibilities: Answer attendee, exhibitor, and sponsor questions—or find a volunteer or ACCT Staff who can. Welcome attendees, exhibitors, and sponsors to the event during the check-in process at registration. Monitor attendees during sessions and manage surveys. Check badges at Exhibit Hall entrances and help clear the hall when it closes. Facilitate Exhibit Hall activities like the Cable Whip, pickleball court, cornhole and others. Assist with gear and equipment transportation and packing. Support data entry projects.

If your availability changes and you’re no longer able to volunteer, please notify the Service Crew team leaders as soon as possible using the contact information listed below. We understand that circumstances may arise, and we appreciate your prompt communication.

Can’t Commit to the Service Crew?
If you’re unable to commit to joining the Service Crew, we completely understand! There are still meaningful ways you can support the event experience:
- Donate Items: Consider donating prize items for our Scholarship Fundraiser. Proceeds from these events fund our scholarship program, helping to make the annual conference and expo more accessible to all. Otherwise, each year we need two (2) spools of galvanized aircraft cable to facilitate the iconic Cable Whip experience in the Exhibit Hall.
- Donate Funds: You can also contribute directly to our scholarship program during the registration process. Your donation will help provide financial assistance to fellow attendees, helping ensure that everyone has the opportunity to benefit from this important professional development event.
- Join the Media Team: If you have an interest or passion in photography and videography, consider joining the Media Team to support the event slideshow shared during the Awards Ceremony while helping develop our library of digital resources.
- Sponsor the Event: Explore our diverse range of sponsorship opportunities designed to provide your business with unparalleled visibility and engagement opportunities at the conference.
- Volunteer with ACCT International: There are a variety of Committees, Work Groups and Affinity Groups that rely on volunteers to plan and execute projects in accordance with the ACCT International mission and vision. Consider joining a team to share your expertise or develop new skills!
